Office coffee & snack cost calculator.
Estimate your office coffee, snack, and pantry program cost based on actual consumption: headcount, drinks per day, snacks per day, and coffee cups per day. The calculator returns a monthly cost range across three quality tiers, low, mid (good managed program), and high (healthy / premium). Defaults reflect typical full-program consumption: 2 drinks, 2 snacks, 2 cups of coffee per person per day.
Estimate your monthly program cost
Move the sliders to reflect your office. We'll calculate a monthly range across three quality tiers. Numbers are estimates, for an actual quote, get matched with providers below.
Defaults reflect typical full-program consumption: 2 drinks, 2 snacks, 2 coffees per person per day, across 22 working days per month.
How to use this
Start with the defaults if you don't know your team's consumption, they reflect what most full-program offices actually use. If you're running coffee-only, drop drinks and snacks to zero and slide coffee cups to your real number (most offices land between 1.5 and 3 cups per person per day).
The three tiers correspond to the four pricing bands we benchmark across the directory: coffee-only is roughly the "low" tier with snacks and drinks zeroed out; managed programs land near "mid"; healthy / premium programs land at "high"; specialty and executive-tier programs sit ~30% above the high tier.
What the calculator doesn't include
- One-time equipment costs (espresso machines, kegerators, micro-market refrigeration). Most providers amortize equipment into the per-employee rate or rent it free with a service agreement.
- Delivery surcharges for hard-to-reach buildings or after-hours service.
- Custom requests like branded packaging, monthly "tasting" events, or specialty roaster pop-ups.
- Tax, quotes will include local tax based on your ZIP.

Calculator FAQs
How does the office coffee and snack cost calculator work? +
You input headcount and per-person daily consumption (drinks, snacks, coffee cups). The calculator multiplies those by tier-specific unit costs and 22 working days per month, then displays a range across three quality tiers, low/basic, mid/managed, and high/healthy-premium.
What unit costs does the calculator use? +
Low tier: $0.50 per drink, $0.40 per snack, $0.40 per coffee. Mid tier: $1.00, $0.75, $0.50. High (healthy) tier: $1.75, $1.25, $0.75. These reflect the typical per-unit cost a provider charges back to your account, including service and delivery.
Why is the high tier more expensive? +
High tier reflects clean-ingredient sourcing (organic, non-GMO, single-ingredient where possible), specialty coffee (named local roasters, bean-to-cup machines), and full dietary inclusion at scale (vegan, gluten-free, keto, low-sugar). The premium pays for ingredient quality and curation, not markup.
Are these estimates per office or per employee? +
The "per month" totals are for the whole office. The "per employee / day" labels under each tier let you compare against benchmarks like $5/day (managed program floor) or $7–$8/day (healthy sweet spot).
Will my actual quotes match the calculator? +
Usually within ±15%. Quotes can vary based on equipment needs, delivery cadence, contract terms, and dietary mix. The calculator gives a planning range; a quote gives your specific number.
